Need an inkjet printing quotation? What to send your supplier

To get a useful inkjet printing quotation, send the product type, finished dimensions, quantity, artwork status, project location and required completion date. If installation is needed, include surface photos and access details. A clear brief helps suppliers quote the same scope.

Start with the product, not just 'printing'

A manager may ask you to find a printing company, but the supplier needs to know what the finished item will do. Is it a banner outside a shop, a roll-up bunting display in reception, or stickers on a window? Indoor and outdoor use, viewing distance and expected display duration can change the material discussion.

PrintWorks produces large-format graphics from client-supplied artwork. If your artwork is still with an agency, say so in the first enquiry. Separate artwork approval from production approval so neither team assumes the other has completed it.

List finished sizes and quantities

Write each item on its own line with width, height, units and quantity. Avoid sending a number such as '10 by 3' without saying whether it means feet, inches or metres. Distinguish the visible graphic size from any frame or display dimensions.

For several outlets, use a location-by-location list. Two windows that appear similar in photographs may not share the same measurements. Flag estimated sizes instead of presenting them as confirmed measurements.

Include the surface and installation conditions

For stickers, provide a clear photograph of the intended surface and explain whether it is glass, painted wall, board or flooring. Mention texture, exposure to water, cleaning and whether removal is expected later. Material suitability needs to be assessed for the actual application.

For floor graphics, flag foot traffic and any slip-resistance requirements. For banners, explain the support or hanging method. If your building requires approval, restricted working hours or specific access arrangements, include those details before comparing quotations.

Explain the real deadline

State when the graphics must be ready for use, not only the date of the promotion. Include the address and any installation window. Ask the supplier to confirm feasibility after reviewing the artwork and scope; an enquiry is not a confirmed production slot.

Compare like-for-like quotations

Check material, finishing, quantities, installation, transport and any removal requirements. A lower total may reflect fewer included items rather than a cheaper equivalent product. Ask suppliers to identify assumptions and exclusions in writing.

A concise first brief can read: 'We need window stickers for three outlets. Attached are the approved artwork preview, dimensions and site photos. Please quote production and installation, confirm the proposed material and advise whether our required date is feasible.' Replace every detail with your actual requirements.
